In pursuit of a modern, paperless, and efficient administrative environment, the International Islamic University Islamabad (IIUI) has successfully completed the second phase of its e-office implementation, transitioning 50 percent of its directorates and offices to digital operations. This milestone foregrounds the university’s commitment to aligning with contemporary technological standards and meeting the evolving digital needs of higher education institutions.
The project, led by the Directorate of Information Systems, is being carried out under the broader vision of the university’s leadership to ensure sustainable, transparent, and tech-enabled governance across all departments. The initiative was originally conceived and launched under the guidance of the Rector, Prof. Dr. Mukhtar Ahmed, with the ongoing phases receiving continued attention and strong support from the current President, Prof. Dr. Ahmed Saad Alahmed, who remains committed to further advancing this transformative agenda. The initiative is structured in multiple phases:
Phase-I, launched in May 2025, covered 11 core administrative divisions, including the Offices of the Rector, President, Vice Presidents (A&F and R&E), and directorates such as Human Resource, ORIC, IT, QAD, Protocol & Public Relations, Legal Affairs, and Meeting Section. This phase focused on user training, creation of IDs, and initiation of digital file movement.
Phase-II, which began after Eid on 18 June 2025, successfully transitioned additional key units to e-office, including the Vice President (Academic), Directorate of Academics, Administration, Finance, Audit, UAFA, and CTU. Out of 25 departments, e-office has been successfully adopted by 23 to date, with data for these units shared with NITB and user trainings completed. Several offices, such as Planning & Development Works, IPD, BIC, and Transport Section, have undergone integration or are operational, while offices like the Chief Medical Officer, Librarian, and Chief Security Officer are in the final stages of readiness. President Dr. Ahmed Saad Al-Ahmed has shown particular commitment to ensuring the full implementation of the e-office transition. From his first day in office, he personally adopted the system, recognized its value, and emphasised the importance of expediting the completion of Phase II.
Looking ahead, Phase-III is scheduled to commence from July 14, 2025, targeting the remaining directorates and academic units, including Deans, Heads of Departments (HODs), in-charge offices, students’ advisors, and specialized units and faculty offices.
The digital shift is being supported through comprehensive hands-on training sessions conducted by the Directorate of Information Systems, ensuring smooth operation of the e-office software and building staff capacity at all levels. The transformation reflects IIUI’s larger mission of providing professional-grade IT infrastructure and services while upholding the principle of “Maximizing Efficiency and Minimizing Cost.”
